The Administrative Services Supervisor – Charlotte, functions as the lead local office support for the Office Managing Partner, the Regional Director of Administration – East (US), the Regional Senior Operations Manager – East (US) and local office departmental managers.  The Administrative Services Supervisor will assist with the day-to-day administration of the office and manage certain Charlotte office staff. 


Duties & Responsibilities:

  • Works closely with the Regional Director of Administration – East (US) to ensure that local office administrative needs are being met.  Will assist with coordinating office social events, fundraising initiatives and other special projects as assigned.


  • Functions as part of the local office and regional management teams, attending periodic meetings and working to meet office and regional goals.


  • Manages all aspects of Charlotte office legal secretarial services.   Creates and modifies secretarial assignments for attorneys and coordinates back-up support as needed. Establishes and maintains well-balanced assignments according to Firm staffing ratios.   Handles secretarial staff time and attendance, professional development, work performance concerns and the annual evaluation process.


  • With direction from the Regional Director of Administration – East, the Administrative Services Supervisor will address and participate in counseling sessions regarding performance issues with support staff.  Prepares performance/disciplinary memos and performance improvement plans; maintains accurate documentation. Conduct terminations with Human Resources when necessary.



  • Works closely with the Regional Senior Operations Manager – East (US) on various aspects of facilities management and office operations.  Ensures that the Charlotte office meets Firm standards for upkeep and cleanliness.


  • Conducts research on providing new services to the Charlotte office.  Keeps abreast of new products and trends in law firm administration and make recommendations as appropriate.  Maintains relationships with vendors providing services to the Firm, ensuring high quality of service.


  • Ensures Firm and local office policies and procedures are implemented in a timely and appropriate manner.


  • Assists the Regional Director of Administration – East (US) and Regional Senior Operations Manager – East (US) with preparing the Charlotte office annual expense budget.  Liaises with leaders of various departments to make sure local office requirements are part of the budgeting process. 


  • Serves as lead project manager and client liaison on various reports and surveys required by our bank clients.  Work with Accounting, Business Development, Diversity, Human Resources and IT Security teams as needed to complete reports and surveys in a timely manner.  The Administrative Services Supervisor will submit completed reports to the client and keep accurate records of all submissions.


  • Provides spot support to various departments including but not limited to, Business Development, Attorney Recruiting & Development and Human Resources on an as needed basis.  Examples of responsibilities may include:  greeting Charlotte office staff and attorney candidates, scouting event locations, running on and off-site client and firm events, etc.


  • Maintains an active membership in the national and local chapters of the Association of Legal Administrators (ALA). 



Must be specifically listed on resume in order to be considered for this position:

  • Bachelor’s Degree required.


  • A minimum of 5 + years of experience in administration or other relevant support department of a law firm or professional services firm required.


  • Minimum of 2 + years of supervisory experience required.



  • Detail oriented, creative and eager to learn.  Proven ability to organize, prioritize, and multi-task in a time-sensitive environment while maintaining high standards of work quality and customer service.


  • Proficiency with MS Office Suite and other software.  Ability to create user-friendly spreadsheets, reports, agendas and presentations.


  • Ability to work overtime as needed.  At times the position may require more than the standard 37.5 hours per week to perform the essential duties.


  • Ability to interact with all levels of personnel and project a strong and positive image of the firm. Strong interpersonal skills are required to communicate with a diverse group of internal and external clients, attorneys and staff.


  • Highly developed oral and written communication skills.
