Position Title: Benefits Specialist

Reports to: Director, Global Benefits & Compensation

Manages: None

Department: Human Resources

FLSA Status: Exempt

Job Grade: 15

 

Summary:

The Benefits Specialist is responsible for administration of employee benefits in all company operations. The Benefits Specialist provides excellent customer service and quality benefits plans, investigates new benefits programs, improves existing programs, and provides analytical and technical support in the delivery of the benefit programs.

 

Essential Duties and Responsibilities:

  • Serve as first point of contact for plan vendors and third-party administrators. Coordinate transfer of data to external contacts for services, premiums and plan administration. Evaluate and revise internal processes to reduce costs and increase efficiency. Document and maintain administrative procedures for assigned benefits processes. Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting and fees.

  • Recommends and assists in developing and implementing new and/or revised policies, processes and procedures to ensure compliant administration of all company benefit programs.

  • Assists internal and external auditors during audit process by providing documents, and other items upon request; evaluates audit recommendations, and implements approved changes to close a gap identified by auditors.

  • Prepares a variety of correspondence, memoranda, statistical summaries, reports, announcements and other materials related to the benefits.

  • Provides employee related reporting for benefit plan analysis, eligibility, coverage, and costs.

  • Functions as liaison between benefit vendors and employees to provide support and feedback on eligibility, plan coverage and claims processing.

  • Oversees HRIS interfaces and reporting of data to and from 3rd party vendors.

  • Maintain benefit related information within the HRIS/Payroll System. Insure compliance with delivery of required plan materials to plan participants.

  • Supports the annual administration of the Open Enrollment process, including automated enrollment process for U.S. based employees.

  • Assists the HR Team with the Onboarding process to include benefit updates, paperwork workflow, etc.

  • Prepares benefits documentation, such as original and amended plan texts, benefit agreements and insurance policies. Instruct insurance carriers, trustees and other administrative agencies outside the company to effect changes in benefits program. Ensure prompt and accurate compliance.

  • Evaluate and compare existing company benefits and pay programs with those of other employers by reviewing other plans, surveys and other sources of information. Plan, develop and/or participate in area and industry surveys. Analyze results of surveys and develop specific recommendations for review by management.

  • Provides support to the HR Team related to HRIS and related reporting tools.

  • Support the administration (preparing spreadsheets, updated data, etc.) of Annual Merit Increase and Incentive planning (Global and U.S.).

  • Oversees the monthly reconciliation on benefit plan billing.

  • Performs other related duties as assigned.

     

     

    Knowledge, Skills and Abilities:

  • Solid understanding of different benefit plans (retirement, health & dental insurance etc.) and relevant regulations

  • Knowledge of applicable federal and state employment laws and regulations.

  • Knowledge of HR practices and principles.

  • Knowledge and skill in functions/processes of a HRIS.

  • Knowledge of computer assisted compensation and benefits analysis techniques.

  • Superior client service skills with ability to work collaboratively with organizational teams.

  • Strong analytical and problem solving skills, with attention to detail.

  • Skill and knowledge in the collection, analysis and determination of the relative market value and organizational application of quantitative salary and benefit survey data.

  • Superior skill in communicating effectively with all levels of employees both verbally and in writing, including top management, sufficient to provide information, interpret policy and to justify and persuade others.

  • Skill in writing concise, logical, analytical reports and notes to justify benefit recommendations and decisions.

  • Skill in computing rates, ratios, and percentages in gathering and applying benefits data.

  • Ability to develop and implement action plans to address unique and unusual issues within the benefits discipline.

  • Ability to work in a multi-ethnic and multi-cultural environment.

  • The Benefits Specialist requires a Bachelor’s Degree in Business Administration (or equivalent) with at least five years of Benefits Specialist/administration experience.
