Job Details

Basic Function:         

To process payroll, maintain human resources files on employees and ensure compliance with state and federal regulations. To prepare analytical reports on payroll expenses, staffing and appointment contracts as requested. Maintain employee benefit programs. Serve as Title IX Coordinator.

 

Major Duties:

Compliance: Complies with federal, state and local legal requirements, anticipating new legislation with regard to labor laws and completeness of employee records (including University policies such as credentials for appointments). Ensure compliance with COBRA and immigration regulations, Affordable Care Act, and with Title IX regulations. Disseminate training information to employees as required.

Payroll: Prepare and maintain employee payroll records for bi-weekly payroll processing. Process bi-weekly payroll, including reconciliations, ACH payments, request for payments. Maintain and ensure garnishment processing, employment verification and levies as needed. Provide analytical data relating to payroll, such as expenses by classes taught. Field employee questions on payroll matters.

Work closely with the Finance Office to ensure proper processing of payroll, benefits, budgeting, etc.

Benefits: Maintain employee health and benefit files. Obtain invoices for benefits from websites and from mail. Verify accuracy of the invoices and prepare requests for payments. Maintain reconciliations of all benefits to ensure compliance with policy, timely removal and addition of employees to benefits, and obtain best rates and coverage for benefits. Field employee questions on benefit matters.

Reporting: Respond to all requests for data from IPEDS, EEOC, LADOL, and USA Reports. Maintain Human Resources bulletin board for required Employment postings as required by Federal and State Government.

Other Duties: Post open positions. Prepare new hire paperwork. Conduct new employee orientations on a regular schedule. Prepare termination paperwork and notifications to Information Technology Office, benefit providers, and Finance Office. Preparing and processing all appointment letters/contracts for the University. Prepare and maintain employee benefits policies. Maintain University’s job descriptions for all employees. Manages annual evaluations of employees. Perform other duties as assigned.

Requirements

Required Qualifications

Bachelor’s degree; SHRM/HRCI certification a plus. Excellent interpersonal and written communication skills; Demonstrated professionalism; Ability to relate to individuals from diverse background; Willingness to work as a team; Capability to work independently; Experience with Microsoft Office Suite, Power Campus, and Paychex products. Outstanding organizational and team building skills.

 

Salary and Rank

 

Dependent upon qualifications and experience.
