Position: Human Resources Administrative Assistant
Wage: $19.87-$27.41/hourly. Salary commensurate with experience
Benefits: Eligible
Status: FLSA Non-Exempt
Work schedule: Full Time, Monday-Friday 8am-5pm

Under the general direction of the Human Resource Manager, this position performs highly responsible and complex administrative, analytical and professional work. Work involves responsibility for records management and development of administration processes, monitoring of existing compliance programs and implementation of special projects. Work is reviewed by the Human Resource Manager through observation and achievements of desired objectives.

 

Works closely with Human Resources staff and provides primary administrative support for functions associated with recruitment, records management, training and other tasks as assigned; includes filing.

Provides back-up support to administrative staff as assigned. 

Coordinates employment verifications and manages Candidate correspondence, interview and assessment scheduling.

Prepares Job Postings and New Hire packets. Manage Candidate correspondence.

Assist in coordinating outside assessors regarding travel arrangements and scheduling

Update job descriptions, conduct routineI-9 audits and compile data for EEO reporting.

Update and distribute Injury/Accident packets.

Schedule interviews and interview rooms.  May review and prepare interview questions and rating forms for selected recruitments.  Prepares interview packets for each member on interview team. May calculate test results, prepare and review eligibility lists. 
 
Ensures recruitment and human resources related documentation is completed properly; prepares employee paperwork for submission to payroll. 
 
Closes recruitment files when selection process is completed. Purges electronic and hard-copy recruitment files per retention schedule.
  
Responds to a wide variety of questions from hiring managers, employees, board and citizens, including information on processing forms, special programs and activities, recruitment, position vacancies, and policies and procedures.
 
Assists with other human resource related functions including benefits, compensation and classification, training, payroll and maintenance of HRIS data, if and as required.
 
Coordinates employee recognition and perks programs.

Assists with employee activities as required.

Responds to Volunteer inquiries.
 
Compiles information and prepares reports on recruitment activities.  Reconciles billing for pre-employment and annual physical testing.  Assists in maintaining complex filing systems and logs. 
 
Ensures compliance with required human resources related legal postings according to AOGs.
 
May operate motor vehicle for work-related duties.
 
Performs special projects as assigned. 
 
Updates the human resources related intranet, internet, and social media information as necessary.
 
Uses independent judgment and problem-solving skills and knows when to seek assistance from other Administrative and Human Resources staff members.
 
Works with Health and Wellness Division to coordinate return to work testing and documentation

May be required to work overtime.
 
Performs other duties as assigned.

Requirements

High school diploma or GED; Bachelor’s Degree in related field preferred, but not required; at least 3 years providing technical and administrative support in a Human Resources Department or related area.  Equivalent combinations of education and experience may be considered.

Knowledge of federal, state, and local laws, statutes, and ordinances related to human resource administration.

Knowledge of the principles and practices of human resource administration.
