Job Details

The HR Coordinator will be a part of the Human Resources team and support the recruitment, onboarding, benefits, time off accruals, employee engagement initiatives and HRIS functions.  The ideal candidate should be highly organized, with the ability to manage multiple priorities and confidential projects.  Additionally, this position will assist in the coordination JALC’s internship program, the training and development of staff, and employee engagement projects. The ideal candidate will have a broad knowledge of human resources as well as general administrative responsibilities.

Reporting to the VP, HR, we are seeking a Coordinator who is passionate about employees, HR, and our mission to entertain, enrich and expand a global community for Jazz through performance, education and advocacy.

Responsibilities

  • Serve as the first point of contact for internal and external HR-related inquiries or requests. 
  • He/she will have the demonstrated ability to streamline day-to-day HR operations and perform benefits and personnel records transactions. 
  • Support the recruitment process by scheduling interviews, performing background and reference checks, drafting offer letters, and sending turndown letters.
  • Assist in the coordination of orientation and onboarding activities.
  • Create reports from the employee database to analyze data, identify trends, and communicate findings to the HR team.
  • Manage the processing of benefit and vendor invoices.
  • Prepare, maintain and organize paper and electronic personnel files and data.
  • Schedule meetings and prepare materials.
  • Coordinate training and development sessions and employee engagement events.
  • Process employee verifications, unemployment requests and termination documentation
  • Assist in ad-hoc HR projects, such as employee surveys, vendor requests for proposals, etc.
  • Works with the Office Admin team to provide clerical and front desk reception support as needed. 

Requirements

  • Bachelor’s degree is required with a minimum of 2 years’ experience in human resources or related field.  
  • Must have a sense of urgency and meet tight deadlines.
  • Must communicate effectively, be proactive, solutions-oriented, and ambitious.
  • Technologically savvy and has demonstrated proficiency in various HRIS systems including PeopleSoft, ADP Workforce Now, SAP, Sage and Benefits Administration, MSS and ESS modules.
  • Has a keen attention to detail and highly organized.
  • Exceptional oral and written communication skills.
  • Ability to handle confidential and sensitive matters with discretion and diplomacy.
  • Proficiency in Microsoft Office Suite.
