Job Details

The Center for Strategic and International Studies (CSIS) is a non-profit, bipartisan public policy organization established in 1962 to provide strategic insights and practical policy solutions to decision makers concerned with global security and prosperity. Over the years, it has grown to be one of the largest organizations of its kind, with a staff of some 200 employees, including more than 120 analysts working to address the changing dynamics of international security across the globe.

JOB SUMMARY

The HR Coordinator is responsible for a variety of administrative tasks.  Responsibilities include responding to general inquiries and providing customer service to all CSIS employees, assisting departments and programs with intern and regular hire recruitment needs, maintaining the multiple HR systems including the ADP Employee Self-Service Portal, and for providing support to the entire HR department. 

INTERNS

  • Serves as the internship coordinator by managing the recruitment process, and the applicant tracking system. 
  • Works as a liaison between departments, serves as the main point of contact for the interns, and conducts the individual and spring, summer and fall intern orientations.
  • Prepares offer letters for the interns and semester statistics on each class. 
  • Develops and maintains relationships with universities, and organizations that focus on interns i.e., Washington Center, University of California DC, etc.
  • Notifies managers/coordinators before interns reach benefit eligibility.
  • Assists with placement of VIP interns.

ADP SELF-SERVICE PORTAL

  • Serves as the administrator by maintaining and updating the information listed on the portal including HR forms, photos, birthday and anniversary lists, etc.
  • Determines necessary steps to rollout additional features and enhancements including fully utilizing all features.

RECRUITMENT

  • Assists the Senior HR Generalist with recruitment efforts.
  • Conducts initial HR orientations with all new hires.
  • Serves as backup to the Senior HR Generalist to conduct a separate benefits orientation with new hires.  

TRAINING

  • Creates training materials and conducts regular training sessions on the use of ADP Self-Service portal.
  • Creates training material and conducts training sessions on the use of OpenHire, the applicant tracking system.
  • Conducts training sessions to help new hiring managers review applicant documents and conduct effective interviews.
  • Assists departments with the creation of Brainshark presentations

OPENHIRE/HRIS/@1616-SHAREPOINT

  • Responsible for the creation and maintenance of all SilkRoad OpenHire content, including creating accounts for administrators and hiring managers
  • Creates and generates reports for all systems as requested. 
  • Serves as a back-up to the HR Assistant in entering employee and departmental changes in the HRIS system on a bi-weekly basis.
  • Manages the maintenance of HR sections on the internal website @1616, and ensures accuracy of forms and files.

COMPLIANCE

  • Ensures that labor law posters are current and on each floor. Takes pictures and maintains record that posters were displayed properly.
  • Completes benefit and governmental reports and surveys as needed. Including but not limited to AAP, EEO-1, VETS 100, HRA-NCA, and the Think Tank Survey
  • Creates metric reports from employee data. 

EMPLOYEE ENGAGEMENT / EMPLOYEE RELATIONS

  • Maintains relationships with outside organizations to manage lunch and learn sessions
  • Assists in organizing annual events such as Employee Appreciation Day and Administrative Professionals Day. Events that improve morale and work in conjunction with the CSIS Service Committee.
  • Conducts 90-day follow-up sessions to determine employment satisfaction by sending out and reviewing survey data.
  • Provides advice and assistance with employee relations issues
  • Assists with conducting exit interviews and compiling data quarterly

BENEFITS

  • Serves as a back-up to the Senior HR Generalist in providing assistance with benefit administration.

ADMINISTRATIVE

  • Serves as a back-up to the Senior HR Generalist and the HR Assistant
  • Provides supervision of the HR intern
  • Responds to general inquiries from employees concerning HR policies, benefits, procedures, and other personnel issues. 
  • Creates HR Brainshark sessions on relevant topics.
  • Serves as the temporary agency liaison.
  • Assists with compilation and distribution of monthly HR newsletter.
  • Provides verifications of all current and terminated employees and interns, and responsible for government background investigations.
  • Prepares affiliate letters and enters information into the HRB system.
  • Documents HR processes to be included in the HR standard operating procedure.
  • Assists with any special tasks, presentations, projects, reports. Performs a variety of other HR related duties as assigned.

Requirements

KNOWLEDGE, EDUCATION, AND EXPERIENCE:

  • High school diploma; college degree preferred in human resources or related business field.
  • Three to five years HR experience.
  • Experience with automated payroll, applicant tracking and HRIS systems, including ADP Workforce Now.
  • Proficiency with entire Microsoft Office Suite.
  • Excellent verbal and written communication skills with the ability to provide strong customer service.
  • Excellent interpersonal skills required.
  • General knowledge of employment and benefit laws and practices.
  • Able to exercise effective judgment, sensitivity, flexibility, and creativity to changing needs and situations.
  • Must be detail-oriented, well-organized, with the ability to manage multiple projects & priorities simultaneously.
  • Ability to work effectively with employees in dealing with confidential issues.
  • Ability to work in a team environment.
