The incumbent directly supports the Safe Act Officer in all compliance matters and interfaces with all areas of Human Resources to provide guidance in the administration, maintenance and continual improvement of the Human Resources monitoring and testing program, serving as the first or second line of defense within the business line. Reviews and develops policies and procedures for employee and compliance related matters specific to FFC's people practices. Incumbents in this position will be crossed trained to provide support specific to the completion of the Affirmative Action Plan's and EEO reporting. Will manage the H1B Visa process ensuring program compliance and employment-related background decisioning

Work Hours - Monday to Friday, 8 am - 5 pm

Essential Duties

  • Provides guidance and direction to support staff specific to compliance with the Safe Act. Ensures the employee services team is fully trained on procedures specific to the Act. Trains new members of the team on the Safe Act requirements and workflows. Assigns NMLS Administrator access. Monthly, compiles and reconciles the necessary data points from various Human Resources Systems and reconciles to the National Registry, providing an accurate account of mortgage loan officer data to the FFC IT System Administration department. Annually, administers the renewal process by providing guidance to the Employee Services Group Administrator's for all staff assigned to a Mortgage Loan Officer function and the employee services team. Incumbent is responsible for all internal and external audit requests and remediation of assigned issues. Partners with the Compliance and Training Department to determine the appropriate training content delivered to the MLO's at hire and annual recertification process. As indicated in the Policy Office governance documents, ensures the Safe Act Policy is reviewed, presented to the Enterprise Risk Management Committee and approved by each affiliate board
  • Conducts retroactive, sample testing of assigned key controls to ensure operating efficiency or procedures and workflows. Provides guidance to HR Management Team members in situations where the sample data fails testing. Maintains documentation to support compliance and risk initiatives as well as the status of ongoing internal and external audit/regulatory issues. As assigned, tests closed items reported by the Human Resources Management team prior to submission to various internal issue tracking systems. Provides guidance on program parameters to other team members
  • Completes FFC Vendor Risk Management administration specific to vendors used by the Employee Services Team. Annually completes the Sox compliance reviews. Administers user access to the vendor
  • Oversees the Compliance Poster Program at all work locations, including remote worker, HUB and applicant tracking system links, across the entire FFC footprint. Ensure compliance with all federal, state, and local laws. Oversees the vendor providing the services and ensures all tracking is maintained for audit purposes. Collaborates with vendor's in house counsel as well as FFC's employment attorney on new postings to ensure compliance at all locations
  • Responsible for the administration of the H1B Visa application process as well as review of employee information specific to work Visa's current employed to ensure updated documentation is provided supporting continued eligibility for employment. Collaborates with external counsel and provides guidance to the Talent Advisors, Hiring Managers and candidate as it relates to the application process, job postings and DOL prevailing wage determination



Bachelor Degree or equivalent experience. Specialty: Relevant degree pertaining to the essential duties of this role. (Required)


1 or more years Working knowledge Affirmative Action Requirement for Federal Contractor Employers, OFCCP Audits, EEO, and VETS compliance and reporting. (Required)

2 or more years HR Generalist or entry professional level Human Resources Experience. (Preferred)

3 or more years Working in a heavily regulated industry preferably financial services. (Preferred)

3 or more years Working with control designed, testing and or monitoring. (Preferred)

3 or more years Demonstrated knowledge of talent acquisition processes, applicant tracking systems, and overall talent management practices. (Preferred)


Individuals with one or more of the following certifications Certified Employee Benefit Specialist, certification through the Society of Human Resources Management or HRCI. (Preferred)
