To drive continued success in this exciting clinical research field, we are seeking a committed, skilled, and customer-focused individual to join our winning team and manage our USA payroll, benefits and assist with company-wide staff recruitment activities.

Human Resource and Payroll Manager

Key Responsibilities:

The incumbent will be a key member of the Human Resource and Finance department,  the incumbent will provide human resource assistance with staff recruitment for an expanding workforce, on board training, employee relations as well as administering the bi-monthly payroll, the health and welfare benefit plans, and the 401(k) plan.

Key responsibilities include but are not limited to:

  1. Assist with recruitment activities which will include creating job postings, advertising open positions on various web sites and interacting with recruitment agencies, pre-screening resumes with department managers, conducting candidate screening procedures, assisting the department management team with technical interviews, administrating skill-based tests, conducting reference checks, background checks, and preparing offer letters.
  2. Facilitate the gathering of new employee paperwork such as federal and state tax exemptions, employment verification forms, personal information, and confidentiality agreements.
  3. Administer E-verify, where required state new hire reporting and the Health and Human Services online exclusion database.
  4. Process bi-monthly payroll which includes setting up, maintaining and updating employee information including address changes, tax exemptions, benefit deductions and accurately calculating salary increases.
  5. Act as the company point of contact with the payroll administration company for any updates or changes to the payroll system.
  6. Reconcile the bi-monthly payroll with the payroll register and year end W-2 summary report. Arrange business and payroll registration in states where the company is not currently operating and have hired a new remote worker. (Note: while most of Everest’s employees are working at the two office locations, we have been also hiring home-based remote employees throughout the United States and Canada).
  7. Complete payroll tax reporting for jurisdictions not administered by the payroll processing company.
  8. Manage consultant contracts and 1099 reporting.
  9. Provide employee education on the health and welfare benefit plans and the 401(k) plan.
  10. Act as the employee point of contact for any benefit, 401(k) questions and changes.
  11. Perform Benefit administration duties (setting up new hires, ending enrollment for terminated employees, etc.).
  12. Assist with Disability/LOA management.
  13. Act as the main point of contact with benefit and 401(k) providers.
  14. Maintain employee files and ensure accurate employee records are kept up to date.
  15. Reconcile and process the monthly insurance company invoices.
  16. Provide annual 401(k) census information to the 401(k) provider and completion of 5500 form.
  17. Arrange annual benefit and 401(k) education sessions with outside providers.
  18. Make changes to employee benefits if required during the open enrollment period.
  19. Complete annual Department of Commerce R&D census report.
  20. Reconcile quarterly the payroll records and benefit invoices with the payroll and benefit general ledger entries.
  21. Provide training to new employees and refresher training on the company timesheet system.
  22. Provide semimonthly checks on employee timesheet reports and follow up with employees on any discrepancies.
  23. Maintain vacation and other absence tracking and record keeping.

Qualifications and Experience:

  • SHRM-CP (Certified Professional) or SHRM-SCP (Senior Certified Professional) preferred.
  • Bachelor’s degree with a major in Business Administration, Accounting or Human Resources.
  • Must have a minimum of five years payroll administration experience.
  • Experience with Ceridian or ADP payroll systems.
  • Experience with multi state payroll is desired.
  • Human Resource, Payroll or Accounting certification is required.
  • Excellent verbal and written communication.


Office Location:

This is an office-based position. The incumbent will work regularly from our New Jersey office located in Little Falls.
