Job Details

Reporting to the Assistant Director of Human Resources & Faculty Affairs for Columbia University School of Nursing, the Human Resources Assistant will have administrative responsibilities in a very busy Human Resources team. 

Specific responsibilities will include: 

-Processing various new hire forms and escorting new hires to complete I9 documentation and obtain new IDs;

-Preparing materials for Welcome Program sessions;

-Organizing the flow of necessary new hire and termination functions including computer set-up sessions, ID retrievals, payroll account codes, etc.;

-Ensuring that new hires are posted in the PeopleSoft@Columbia (PAC) system and alerting the HR team when there are delays;

-Inputting status updates for hires via an internal tracking document;

-Preparing monthly employee reports to ensure accurate information;

-Assisting with the execution of several events for faculty & staff including the annual Excellence Awards, Administrative Professionals Day, summer outing, and various other social events throughout the year;

-Maintaining the HR & Faculty Affairs pages on our School intranet and updating as necessary to ensure all information is accurate & current;

-Scanning documents to upload to our electronic employee records system;

-Working with the Communications team to request profile updates on the internet for promoted and newly hired faculty members; 

-Delivering paper documentation to Central Payroll, HR and Faculty Affairs offices;

-Serving as a back-up for our Payroll team as necessary;

-Performing other duties and projects as needed and assigned.  

Requirements

Minimum Qualifications: 

Requires a bachelor’s degree or equivalent in education and experience plus two (2) years of related experience. 

The HR Assistant will have exemplary customer service skills and a meticulous attention to detail.  S/He will have excellent communication skills, both oral and written, and very strong computer skills, particularly in Microsoft Excel.  The ability to work with faculty and staff at all levels is essential.  The HR Assistant must be able to maintain a high degree of confidentiality in handling sensitive employee records.  

Preferred qualifications: 

Prior experience and/or interest in working on a Human Resources team is strongly desired for this role.  Experience in processing timesheets and/or payroll records is also preferred for the individual in this position.
