SUMMARY

Is chiefly responsible for all HR compliance-related tasks: pre-hire screening and onboarding of new hires including employment verification, drug screening, TB testing and physicals, I-9s, identification badges, job description review; ensures personnel files are compliant and audit-ready; performs primary data-entry tasks for HRIS; serves as helpdesk for benefits plan including acting as support for day-to-day administration of benefit programs and workers compensation; trains staff on HRIS system; coordinates the dispute resolution process; assists team members on as-needed basis; maintains recognition and office supply inventory; provides support to VP of Human Capital.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

KEY PERFORMANCE INDICATORS (KPIs)

Performs HRIS data entry

Will have accuracy rate of 95% or greater

Maintains employee personnel files; ensuring content is compliant and current

Will perform audits of personnel files within one week of employees’ hire date

Audits personnel files; ensures second-level reviews

Will submit personnel files for 2nd-level review within two weeks 100% of the time

Generates reports on recurring or as-needed basis

 

 

Manage check request process

Reconciliation of benefit invoices

 

Will perform weekly and monthly report analysis of pay rate and employment status changes; will review during supervision 100% of the time

Invoice will be processed on time 100% of time

Completes requests for employment verification

Will monitor Fax inbox for requests and complete employment verification within 24 hours of receipt

Ensures completion of random drug screenings

Will complete random selection and send drug screen email requests on monthly basis

Ensures a safe and confidential environment

Ensures personnel files are maintained in locked and secure area 100% of the time

Utilizes excellent communication skills both internally and externally

Will respond to email, phone, or written inquiries within 24 hours

Completes mandated training

100% of required training will be completed within specified time frame

Attendance:  Has minimal occurrences of unscheduled absences or lateness

No more than 5 unscheduled events per year

EDUCATION and/or EXPERIENCE: HS diploma required and two + years of HR experience in a compliance role, preferably mental health; strong customer service skills.Bachelor’s degree in Business, Human Resources, Organizational Development or Psychology preferred; proficiency in MS Office.

 

LANGUAGE SKILLS:  Ability to read, analyze, and interpret common journals, financial reports, and legal documents.  Ability to respond to common inquiries or complaints from customers, regulatory agencies, employees or members of the community.  Ability to effectively communicate information to top management, public groups, and boards of directors.

 

MATHEMATICAL SKILLS:  Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

REASONING ABILITY:  Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
