Job Details

Position Summary: We are looking for a motivated, cheerful, upbeat candidate with the ability to interact with our employees.  Responsible for providing human resources support with a particular focus on HR administration and recruitment.. Works closely with the HR Team and HR Director and contributes to company-wide HR projects and initiatives.

Major Responsibilities / Accountability: 

  • Manage on-boarding process including new hire documents, employee folders, completes I-9 forms and completing background checks. Serves as the key contact for all new hires. System admin for the on-boarding tool.
  • Manage all employee changes (new hires, job changes, transfers, salary changes, manager changes and terminations) in company HRIS. Maintain data integrity of HRIS and participate in all system integrations, upgrades and enhancements.
  • Work with the payroll department to handle employee transactions, answer questions and complete employee verification requests.
  • Initiate and communicate all new hire/transfer checklists and terminations to IT, AP, Corporate Service and other relevant departments.
  • Maintain active and terminated employees’ I-9s according to USCIS rules. Completes I-9 self-audit every 2 years. Manage employee files and record retention requirements for HR as per company guidelines.
  • Maintain an accurate org structure for client groups, including uploading to SharePoint
  • Recruitment: posting vacant positions, scheduling interviews, screening candidates and conducting interviews.
  • Ensure that job descriptions are maintained – accurate and up to date, particularly during periods of change.
  • Works on special HR projects as defined.

Requirements

Key Requirements:

  • Bachelor's degree required, with an HR focus.
  • At least years 1-3 years HR Coordinator experience in a fast paced environment.
  • Must be dependable, flexible, proactive and people-oriented.
  • Excellent oral and written communication skills.
  • Comfortable interacting with all levels of management.
  • Excellent organizational and interpersonal skills.
  • Ability to handle multiple priorities.
  • Advanced knowledge of Outlook, Word, Excel, and PowerPoint required.
  • Ability to maintain a high level of confidentiality.
  • Strong attention to detail.
