Job Details

The Legal Administrative Support Manager partners with attorneys and paralegals to provide administrative resources to the legal team. The Legal Administrative Support Manager recruits, evaluates, counsels and coordinates the activities of Legal Support Team staff and Resource Center staff. Essential job functions include:

  • Recruit, supervise, counsel, reward and evaluate Legal Support Team staff, Resource Center staff, and legal administrative temporary employees.
  • Establish and maintain successful working relationship with attorneys and administrative leadership to provide the best resources to meet their business goals.
  • Establish and coordinate priorities regarding workload needs. Implement decisions regarding administrative assignments, moves, daily work flow, special project needs, etc.
  • Manage on-the-job training and mentorship of new Legal Support Team staff, Resource Center staff, and legal administrative temporary employees.
  • Schedule/attend regular meetings with Team Coordinators. Troubleshoot and implement solutions for issues such as: PC productivity, training, time/attendance, policies and procedures, growth opportunities, internal changes.
  • Schedule/attend regular meetings with Resource Specialists, trainers, and help desk staff to share information, establish areas of need, and strengthen teamwork.
  • Track and monitor timecards, overtime, PTO, and dock time for Legal Support Team staff, Resource Center staff and legal administrative temporary employees.
  • Assist Human Resources Department to track/monitor STD, FMLA, LTD and other leaves for Legal Support Team staff and Resource Center staff.
  • Coordinate evening, holiday and weekend staffing needs. Facilitate teamwork between Offices Services, Resource Center, and other departments as needed.
  • Supervise and direct Administrative Services Supervisor/Coordinator to assist with daily staffing needs for Legal Support Team staff, Resource Center staff, and legal administrative temporary employees; track absences in the LST/Administrative Services Staff Calendars; handle special projects for all offices; coordinate temporary support and coverage for long term leaves.
  • Possess working knowledge of Human Resources Department software to assist in maintenance of administrative services staff records.
  • Communicate effectively and professionally with clients, staff, timekeepers and visitors.
  • Regularly coordinate with Human Resources Department regarding staff events and recognition, staffing goals, benefits, payroll, health enhancement, and training needs.
  • Conduct all business in a confidential manner.
  • Perform all other duties as assigned.

Requirements

  • Bachelor’s degree with major coursework in Human Resources or related field required.
  • 5 years’ of supervisory experience required, preferably in a legal and/or professional services environment.
  • Minimum of 5 years’ experience in personnel recruiting, employee counseling, training, evaluation/performance management and staff mentoring required.
  • Windows or similar software application proficiency desired.
  • Ability to perform duties requiring independent judgment and initiative under stress of strict deadlines.
  • Ability to objectively coach employees through complex, difficult and emotional issues.
  • Ability to lead and motivate the work of others; ability to successfully manage direct report(s), including performance evaluation, goal-setting, employee development and problem-solving.
  • Ability to make recommendation to effectively resolve problems or issues by using sound judgment.
  • Ability to exercise good judgment at all times by making sound and practical decisions; ability to assume responsibility for decisions and act decisively under deadlines.
  • High level of professional integrity required; ability to maintain confidentiality and build trust.
  • Ability to deliver superior service to all internal and external customers and communicate effectively.
  • Ability to interact in a professional and courteous manner with clients and employees at all times; professional appearance required.
  • Ability to successfully perform position requirements with excellent organizational, time-management and prioritization skills required.
